# How are points calculated?

How many points a reward costs depends on two things: how members earn points in your programme (per minute played, per euro spent or per check-in) and your loyalty investment percentage. You only enter the selling price; the system works out the points for you.

How long points stay valid (for example 6 or 12 months, or indefinitely) is set when your programme starts. Want to know how it's set up for your programme, or want to change it? Get in touch with our team or your Customer Success Manager.

Two kinds of points: reward points and XP points

Members collect two kinds of points at the same time, each with its own purpose.

| | Reward points | XP points |
| --- | --- | --- |
| **What they're for** | Claiming rewards | Deciding which tier a member is in |
| **How members earn them** | Through your loyalty type (per minute played, per euro spent or per check-in) and through challenges | Only through your loyalty type (per minute played, per euro spent or per check-in). Challenges don't count. |
| **What happens when they're used** | They're deducted from the balance when a member claims a reward | They're never spent. Claiming a reward has no effect on a member's tier. |
| **Tier cycle** | Doesn't apply | Tiers are reassessed on XP points after a set period, for example every six months or every 365 days, depending on your settings. If a member still meets the threshold, they stay in that tier. |

One perk of a higher tier can be that members earn reward points faster, for example 1.5 times as many.

 Three ways to earn points

Every programme has one loyalty type. It decides what members earn points for and how those points come in.

| Loyalty type | Members earn points for | How points come in |
| --- | --- | --- |
| **Check-in** | Every visit (10 points per check-in by default) | QR scan, NFC tap, self QR check-in (kiosk mode) or automatically through an integration |
| **Spend money** | Every euro spent (1 point per euro) | QR scan (a staff member scans the member's QR code and enters the amount), receipt scan or automatically through an integration |
| **Play minutes** | Every minute played (1 point per minute) | Automatically through an integration with the booking system |

You can see how the QR code method works in the [explainer video on earning and redeeming points](https://authic.gitbook.io/authic-product-guide/earning-and-redeeming-points/explainer-video).

Below you'll find how this is usually set up per sector, with worked examples.

 Loyalty investment percentage (all sectors)

Your loyalty investment percentage decides how much value you give back to customers through rewards. A higher percentage means members earn rewards faster; a lower one means they need to save for longer.

- **Changing it**: at the top of **Program \> My Rewards**, click **Edit** next to Loyalty investment. Enter the new percentage and click **Update**. The points for all your rewards are then updated automatically.
- **Which percentage?** Many customers start at 5%. Premium brands sometimes go up to 10%. You can change it at any time.

 Padel and sports

Members earn **1 point per minute played**. Points never expire. They come in automatically through the integration with the booking system, the day after the booking. Members don't need to do anything extra, apart from making sure they're added to the booking with their own account. Anyone added to a booking as a guest doesn't earn points. Members need to use the same email address in the app as in the booking system, otherwise we can't link their bookings to their account. Your staff don't need to do anything. You'll find this setup under **App settings \> Earning rules**.

Reward points are calculated from a reference amount: the average price per player for one hour of court hire. This is also under **App settings \> Earning rules** and you can change it via **Edit**. When you do, you choose whether the points for existing rewards are recalculated too.

![Loyalty structure with the points rules and the reference amount](https://welcome.authic.io/hubfs/CS%20Knowledgebase/013-loyalty-structure-with-the-points-rules-and-the-reference-am.png)

**Worked example** (reference amount €6 per hour, loyalty investment 5%):

1. A member plays for 1 hour and earns **60 points**.
2. At 5% of €6, the member gets **€0.30** back in reward value. So those 60 points are worth €0.30.
3. A reward with a selling price of **€6** costs €6 ÷ €0.30 = 20 hours of play. That's **1,200 points**.

At 10%, every hour is worth €0.60 and the same €6 reward costs just 600 points.

 Beauty

In beauty, members can earn points in three ways. The integration with your booking system is the most common.

| Method | What the member does | What your staff do | Points |
| --- | --- | --- | --- |
| **Integration with your booking system** (most common) | Nothing extra. They do need to use the same email address in the app as in your booking system. | Make sure the final amount is recorded against the customer in the booking system. Points are then added automatically. See how this works below. | 1 point per euro spent |
| **Manually per euro** | Shows their personal QR code in the app after paying. | Scan the QR code with the admin login in the app and enter the amount spent. Points are added automatically. | 1 point per euro spent |
| **Check-in** | Checks in at every visit. There are three ways to check in (see below). | Depends on the check-in method (see below). | 10 points per check-in |

**How check-in works**

| Method | What the member does | What your staff do |
| --- | --- | --- |
| **Personal QR code (QR scan)** | Shows their personal QR code in the app. | Scan the QR code with the admin login in the app. Points are added automatically; there's no amount to enter. |
| **NFC tag (NFC tap)** | Holds their phone against the NFC tag at your location, for example at the front desk. | Nothing per visit. Just make sure the NFC tag is somewhere visible. |
| **Rotating QR code (self check-in, kiosk mode)** | Uses the app to scan the QR code on an iPad at the front desk. The code changes every few seconds, so it can't be photographed and reused later. | Nothing per visit. Make sure the iPad with the QR code is switched on and within reach. |

With points per euro: at a 5% loyalty investment, members get 5 cents back for every euro they spend. For example, a customer who spends €100 earns 100 points, worth €5 in total.

**Tip for discount rewards:** enter what you're giving away as the selling price. Want to give €10 off a €50 treatment? Enter €10, not €50.

**How the integration with your booking system works**

- **Through your booking system integration** (for example Clinic Minds): points are awarded automatically based on the amount recorded against the customer in the booking system. Every night we pull in the data from the past 24 hours and add the points. If customers pay when they book, you don't need to do anything extra. If they pay after the treatment, or the amount changes, make sure you record the final amount in the booking system.
- **Same email address**: members need to use the same email address in the app as in the booking system. Otherwise we can't match their visits to the right account and no points are awarded.
- **Product sales** (for example skincare): there are two options. Put the products on the same invoice in the booking system, so the total counts automatically. Or award the points manually by scanning the member's personal QR code with the admin login in the app. Pick one, so points aren't awarded twice. Your choice also decides what goes in the app's navigation bar: the QR code or, for example, the booking link.

 Hospitality

In hospitality, members can earn points in three ways. Choose whichever suits your venue best.

| Method | What the member does | What your staff do | Points | Best when |
| --- | --- | --- | --- | --- |
| **Check-in** | Uses the app to scan the QR code on the iPad at the till at every visit. The code changes every few seconds. Points are added automatically. | Nothing per visit. Make sure the iPad with the QR code is switched on and within reach. | A fixed number per visit, 10 by default | The average spend is fairly consistent, or you're often busy. Operationally, this is the easiest. |
| **Per euro** | Shows their personal QR code in the app after paying. | Scan the QR code with a phone or iPad behind the till (logged in with the admin login) and enter the amount spent. Points are added automatically. | 1 point per euro spent (a €35 bill = 35 points) | You want to encourage members to spend more. Bear in mind it's an extra step at every payment, which can be tricky when it's busy. |
| **Receipt scan** | Takes a photo of the receipt with the app after paying. We use AI to check the receipt is from your venue and read the amount. | Nothing. The receipt number stops the same receipt being scanned twice. | Per euro spent | You don't want to add an extra step for your staff. You can set a limit, for example one scan per day. |

**Worked example for check-in** (average spend €30, loyalty investment 5%). Unlike the reference amount for padel, the average spend isn't something you set. Use it as a guide to estimate roughly what a check-in is worth:

1. A member checks in and earns **10 points**.
2. 5% of €30 is **€1.50** in reward value per visit. So those 10 points are worth about €1.50.
3. A reward with a selling price of **€9**, like a cocktail, costs €9 ÷ €1.50 = 6 visits. That's **60 points**.

For **per euro** and **receipt scan**, the calculation works the same as for beauty: at a 5% loyalty investment, every euro spent is worth 5 cents in reward value.

**Points per euro: how your staff do it**

1. Open the app, log in with the admin details and tap **Give Points**.
2. Scan the member's QR code.
3. Enter the amount spent, for example €25.00.
4. Check the amount and tap **Confirm**. The app works out the points automatically and the member sees them in the app straight away.

Tips: have your staff always double-check the amount before confirming, agree whether tips count towards points, and get staff to remind members that they've earned points.

**Receipt scan: what does your receipt need?**

With receipt scan, the member takes a photo of the receipt. Our AI reads the total and adds the points automatically, without your staff having to do anything. Recognition is around 95% accurate. To keep it that way, your receipt needs to show:

- **Your business name**, so we can tell the receipt is yours. Add your address too; if you have several locations, the address is required.
- **The total amount** of the purchase.
- **The date and time** of the purchase, to prevent misuse.
- **A unique receipt or transaction number**, so a receipt can't be scanned twice.
- **A clear, readable layout**, without overlapping or faded text.

Do your receipts not (yet) meet these requirements? Get in touch with your POS provider. These details are standard and often a legal requirement anyway.

Ask members to photograph the receipt flat, in good light and fully in frame. Blurry photos, shadows or creases can lead to a wrong or rejected scan. In the dashboard you can see all uploaded receipts and the amounts that were read. If something's off, adjust the points manually.
